Description:

The Advancement office, a team of 11 that manages all of SFCM’s fundraising efforts and special events and raises $8 million annually, is looking for students to assist with donor relations, events, and other engagement activities. If you’re curious about what kind of people donate to SFCM and how to complete admin tasks in an office environment. You’ll gain exposure to a range of fundraising experiences including cultivation, solicitation, and stewardship within annual giving, and legacy giving. You’ll also help execute special events for donors, board members, and alumni. You’re the reason donors decide to support SFCM in the first place so we want to create opportunities for interaction so donors can experience first-hand the impact of their generosity while you gain valuable experience working alongside the Advancement team.

Qualifications:

  • Personable with a high level of customer service
  • Comfortable being forward-facing and interacting with the SFCM supporters
  • Great oral and written communication skills
  • Good handwriting is a plus
  • Interest in arts administration and higher education administration
  • Willingness to learn different processes in Word, Excel, and Blackbaud database

Responsibilities:

  • Soliciting donors via phone for different direct response campaigns and ticket sales for events
  • Writing notes to donors who make their first gift and donors who make annual gifts at a decided threshold
  • Assist in the execution of special events, including: tracking and recording RSVPs, confirming attendance with registrants via phone, and providing onsite and virtual event support (there is a requirement that you be in attendance for select events as well as agree to be in attendance for a certain number of events each semester)
  • Help with general administrative tasks such as printing and assembling fundraising appeals, acknowledgments, and other donor communications
  • Join SFCM staff as student representatives for virtual tours of the school and for other stewardship activities

Academic Affairs and Registrar

Description:

Provides support to operations of the Office of Academic Affairs and the Registrar.

Principal Duties & Responsibilities"

Assists in orientation & registration, including preparation of printed materials. Files records as needed. Records Jury results and shares faculty feedback with students. Artistic Operations

(8-10hrs/week)

Description:

Box Office staff are required to be cross-trained as Production Staff and complete General Training. This team is an administrative support to the Concert Operations Team and SFCM as a whole. During your box office shift you may be assigned general production tasks, and you may also perform box office, front of house, or production duties during concerts, in addition to the daily and weekly administrative tasks described below.

Box Office Staff

Box Office Staff will be responsible for multiple facets of concert operations and SFCM public facing needs including:

  • Act as the first point of contact by answering phone calls and emails from SFCM patrons and the general public
  • Receive incoming mail/packages and notify the appropriate recipients
  • Box Office & Calendar Management
  • Assist patrons in reserving their tickets through the SFCM performance calendar and SFCM’s ticketing system, Spektrix
  • Sell merchandise using Square Point-of-Sale system
  • Use SFCM’s rooms scheduling system, EMS, to post weekly and daily room cards
  • Email the appropriate parties to collect program and dress rehearsal information recitals and other events
  • Create program drafts in Adobe InDesign inline with established SFCM program formatting guidelines
  • Upload program information to the appropriate Performance Calendar event listing
  • Print, fold, & staple physical programs for all concerts at SFCM
  • Track program status via the Concert Operations Tracker

Program Editor

As of August 2024, Box Office Staff members may progress to Program Editor as they demonstrate proficiency and initiative. Program Editors will undergo additional training in Adobe InDesign and will be expected to maintain a high level of attention to detail and formatting standards, as well as meet a quota of program approvals per shift. The students in this position will be responsible for all duties required of Box Office Staff, as well as the following:

  • Approve final drafts of all department, studio, and student recital programs
  • Assist the Concert Operations manager with the creation of Large Ensemble and Opera programs
  • Maintain Performance Calendar listings and ensure all programs are uploaded and accurate

  • Strong written and verbal skills.
  • Strong interpersonal skills.
  • Some knowledge of Google Sheets/Drive and Microsoft Excel is preferable.
  • Teamwork, flexibility, and the desire to learn real life skills, applicable to any arts administration role

Description:

The Production team manages recitals, concerts, masterclasses and events in all Halls. Production staff are often the main and only point of contact for performers on the day/night of an event.

All production staff are required to complete general training which will equip them to run Front of House, Back of House, Classroom set-ups and Large Ensemble set-ups. New production staff members will begin in support roles (Usher, Crew) and may progress to leadership roles as they demonstrate proficiency and initiative (Stage Manager, House Manager, and Artist Liaison).

Production students are also eligible to work Will Call if interested; additional box office training is required.

General Production Roles:

Crew

  • Crew members report to the Stage Manager and Production Leads and assist with all backstage logistics (as listed under the Stage Manager description)

Set-Up Crew

  • Set-up Crew assists with setups of all shared spaces as needed including classrooms and common areas.
  • Consistent availability for Large Ensemble rehearsal setups preferred.
  • Can sign up for recurring weekly shifts if desired

Will Call

Will call staff run the box office during ticketed concert shifts. Responsibilities include:

  • Printing and distribution of tickets to guests who ordered online or did not reserve ahead of time.
  • Guest reservations for current or upcoming events in Spektrix, SFCM’s online ticketing system
  • Monitors Vimeo livestreams and updates captions and subtitles.

Ushers

Ushers greet guests, scan tickets, and monitor food and drink in all halls. Additional duties include:

  • Providing information and assistance to patrons, including helping patrons who require accessible seating
  • Knowledge of seat locations and seating assignments.
  • Reports to House Manager and Production Leads during performances
  • Knowledge of SFCM policy concerning concert attendance and enforcement of rules.
  • Adheres to the required dress code.
Leadership Roles:

Stage manager (SM)

SMs coordinate and lead all logistical needs for a concert. The SM must demonstrate the knowledge and confidence required to be the backstage authority figure. Duties include:

  • Set and strike all performance equipment (including moving pianos, harpsichord, etc.)
  • Plan and execute stage changes
  • Operate lighting presets
  • Operate Shades, Screen or Acoustic Draperies
  • Communicates with other event staff and performers to keep the event running smoothly
  • Always monitor events during shift
  • Responsible for organizing and keeping backstage areas clean
  • Notifies Security to turn on/off the freight elevator and assist in case of emergency

House Manager (HM)

HMs are often the first point of contact for SFCM patrons, donors, and the public, including wayfinding and alerting security or the supervisor on site if escalation is needed. HMs may also be called upon to assist an SM as needed for an event.

  • Oversee house and lobby and controls crowd before and after concerts and events
  • Communicate with Stage management and Recording Services personnel regarding starting concerts, intermission, live broadcasts, etc.
  • Communicate with Box Office personnel regarding reserved seating and groups in attendance
  • Watch hall doors during concerts to ensure performances aren’t disturbed by opening doors, noise from concertgoers and noise from outside halls
  • Must keep halls tidy before, during and after events

Artist Liaison

  • Oversee guest artist needs before, during, and after masterclasses, concerts, and other events
  • Be a point of contact for guest artists, greet them upon arrival, and providing general support while on duty
  • Assist in the smooth flow of relevant information to and from the guest artist and Production and/or Front of House staff
  • Keep time for guest artists during masterclasses
  • Other duties as assigned

Description:

Program Note Writing Staff will draft and edit program notes for select SFCM in-house performances. All program staff must be approved to enroll in PDV 500 (1 unit), which serves as the training course and workshop for program note writers. PDV 500 is taught by Erick Arenas.

Qualifications:

  • Excellent writing skills and the desire to improve in research and writing techniques. Great attention to detail.
  • Willingness to collaborate on research and writing tasks, accept and offer productive critical feedback.
  • All applicants should submit 1-2 writing samples of previous program notes, music history papers, etc. for review with their resume.

Responsibilities:

  • Write & Research Program Notes for select SFCM Concerts
  • Must enroll in PDV 500: Program Notes (contingent on acceptance). Paid writing time will be separate from course work, and limited by project.

Bridge to Arts & Music

Bridge to Arts & Music (BAM) provides tuition-free instrumental instruction, musical instruments, academic support, and community for underserved students between the ages 6 to 12. Collegiate Teaching Artists provide musical instruction, mentorship, and administrative support for students at BAM sites throughout San Francisco

Qualifications:

  • Experience teaching beginning group classes for strings, winds, and/or brass
  • Bilingual candidates (English/Spanish) are encouraged to apply
  • Background in music with an interest in music education and arts administration

Campus Operations

Description:

The Operations Coordinator will assist with surveying the state/cleanliness of rooms throughout the Bowes Center (including vacant student living units, shared spaces, guest units, etc.), sorting and distributing Replacement Housing mail, and assisting the Director of Operations with other assorted requests as needed.

Qualifications:

  • Candidate must be proficient with the Google software suite

  • Responsive over text and email (during standard work hours, M-F, 9am-5pm).

Responsibilities:

  • Sort and distribute Replacement Housing Mail
  • Check status of student living units, paying particular attention to cleanliness and the state of the walls, carpets, fridge, and flooring
  • Check status of each floor's trash and laundry rooms
  • Check status of practice and ensemble rooms, especially doors and entryways
  • Track usage and stock-levels of Bowes L2 workroom and pantry
  • Assist in check-list items for room turnovers of L12 guest suites
  • Check status of streetside trees, L12 terrace plants, and green-roof

Description:

Each weekend the SFCM Pre-College must sign in hundreds of students and parents. This process is critical to make sure all students can quickly enter the campus, while we manage safety for all students, staff, and family members. The Registration Coordinator facilitates this crucial task.

Qualifications:

Reliable: The coordinator will need to be reliable regarding attending all shifts, and communicating quickly and timely regarding any needs for scheduling. Communication Skills: Since this position is public facing, excellent customer service with parents and students is desired. Patience: Like any customer service position, the student worker will need to remain patient during periods of high volume traffic.

Responsibilities:

  • Oversee sign in/registration table at the Ann Getty Center Entrance for the Pre-College.
  • Inform guests and students of locations for scheduled events.
  • Work closely with the Security Team to provide excellent service.
  • Additional duties as assigned.
  • Assist with other multimedia projects and tasks as needed.

Description:

Provide administrative assistance to the Financial Aid Department.

Qualifications:

Excellent communication and computer skills. Must enjoy working with the public. Must meet all SFCM GPA requirement. Must have been awarded Federal Work Study.

Responsibilities:

Assist students with FAFSA and other financial aid related questions, assist with incoming and outgoing mail/phone calls; ; assist at the front desk when needed and any other duties assigned.

Library

(8 hrs/week)

Description:

The student workers work 5-10 hours per week during the library’s operating hours, which are Mondays-Thursdays, 9am-7pm; Fridays-Saturdays, 9am-5pm. Library desk workers assist the Library Director and the library supervisors at the circulation service desk. Student desk workers are expected to perform any circulation and technical processing related functions. 

Qualifications:

  • Experience working with public
  • Knowledge of the Library of Congress call number system and library practices
  • Promptness/adherence to schedule
  • Flexible schedule & willingness to cover co-workers’ shifts during any of the library’s operating hours

Description:

Assists the Institutional Performance Librarian with maintenance, creation, distribution, and management of scores and parts for the performance library. This includes preparing practice parts and working with both SFCM owned materials and scores/parts rented directly from music publishers. MUST have an excellent eye for detail and a proficient knowledge. Knowledge of string bowing markings preferred.

Qualifications:

  • Proficiency or familiarity with Google Apps, Adobe Acrobat and Microsoft Office
  • Leadership and experience working alongside peers, faculty and administration
  • Ability to follow directions accurately as well as work independently
  • Strong organizational skills and attention to detail
  • Background in orchestral performance or working knowledge of orchestral music
  • Knowledge of string instruments and bowing markings preferred, but not required
  • Priority will be given to students with prior experience or interest working in an orchestral library

  • Assist Performance Librarian with scanning, printing, and distributing practice parts to orchestra student mailboxes
  • Accurately copy bowings into all orchestral string parts from a master set

Professional Development and Engagement Center (PDEC)

10 hrs/week (Additional hours as needed)

 

Description:

About Conservatory Connect: Conservatory Connect brings music to Bay Area residents who cannot normally attend concerts. Student groups, formed by Hire SFCM members, perform at places such as hospitals, rest homes and nursery schools. 

Objective: The Conservatory Connect Coordinator’s primary responsibility is managing the Conservatory Connect calendar. They schedule the 40+ Conservatory Connect performances each semester, communicating with both student groups and partner organizations to ensure successful gig completion. The Conservatory Connect Coordinator also assists with forming Conservatory Connect groups and maintaining partner organization relationships. They will work on various Hire SFCM / Conservatory Connect related projects assigned by the Community Engagement Manager as needed.

Qualifications:

  • Patience: Many organizations and students will not respond to your emails in a timely fashion. The coordinator must be patient and persistent, unless the organization is not interested in having performances, which is usually not the case.
  • Organization: The coordinator must possess basic Google Suite skills. The coordinator will organize most Conservatory Connect related information using spreadsheets.
  • Communication Skills: You will spend a great deal of your time sending emails. It is crucial that you communicate your ideas clearly and efficiently. You will also regularly discuss issues that you are facing with the Community Engagement Manager.

Advice:

  • Always be nice to everyone, no exceptions.
  • Work hard to book the performances as quickly as possible. This will make your life easier later on in the semester, when some groups or organizations need to reschedule a performance, and other issues start coming up. 
  • Over-communicate. If you have any doubts as to whether or not an organization or a group has misunderstood an email that you sent, send another email to clarify. There is no downside to being overly clear, and it will save you a lot of time.

Responsibilities:

  • Reach out to organizations to inquire about their availability and update their contact information in the Conservatory Connect database.
  • Reach out to students to inquire about their availability.
  • Assist the Community Engagement Manager in organizing Conservatory Connect student groups.
  • Coordinate performances and send performance details to the organizations as well as the groups.
  • Record performance information, and keep track of donations made by partner organizations.
  • Send feedback forms and record feedback.

Marketing and Communications

(7 hrs/week, additional hours as needed)

Description:

The Marketing Assistant will have the opportunity to learn fundamentals of marketing, the ins and outs of marketing SFCM, and build administrative skills. They will assist with email marketing, print and digital advertising, and recruitment activities and strategy. This position reports to the Sr. Marketing and Advertising Manager and works closely with members of the MarCom team and other department staff as needed.

Qualifications:

  • Enthusiasm for SFCM
  • High level of organizational ability; attention to detail and deadlines
  • Excellent English language skills, including spelling, grammar and punctuation
  • Excellent verbal and written communication skills and an eye for detail
  • Ability to work both independently and as part of a team, and to adjust to changing priorities

  • Knowledge of the student body and the ability to be the eyes and ears of MarCom

Hours will vary based on event schedules. Student workers can work a maximum of 20 hours per week depending on availability of hours. Attendance: Photographers are required to arrive on time for events and stay until the event ends or the required photos have been taken. If a photographer will be late or cannot come to work, they must notify the marketing and communications office as soon as possible. Photographers are not expected to remain on campus during fall, Thanksgiving, Christmas, and spring breaks.

Description:

Student photographer duties include attending and photographing campus events as requested including some nights and weekends when it does not interfere with student's academic or performance duties. Duties also include editing photos and uploading photos to the appropriate storage drive in a timely manner. Student photographers must use their own equipment if possible, but not a requirement. (camera, software, etc.).

Description:

Working under the umbrella of the marketing and communications team and specifically the Associate Director of Digital Content and Social, the Video Editor will assist in creating videos for use across SFCM's social media platforms. With only 450 enrolled students, SFCM boasts one of the largest TikTok channels of any college or university worldwide, and one of the most followed classical and jazz music channels in North America. The Video Editor will skillfully help turn raw footage into finished videos with the potential to be seen by millions of viewers. Qualifications:

If you are organized, detail oriented, and interested in taking part in the continued transformation of our website to be an up-to-date source of all SFCM information as well as an enjoyable user experience for all that get a chance to stop by our domain, we’d love to meet you! The Website Assistant Editor reports to the Director of Marketing and Digital and works closely with the Email Assistant and the Senior Graphic Designer.

Working under the umbrella of the marketing and communications team and specifically the Associate Director of Digital Content and Social, the Social Media Ambassador will create video content for SFCM's social media platforms including Facebook, Instagram, TikTok, and YouTube. Content may include hosting, producing, and editing "Golden Mic" video series, student interviews, video features, department or program features and more.

Qualifications:

Must be aware of and up to date on all things social media. Know how to shoot video, record video, edit video, and add sound to deliver a polished and professional product ideally all via a smartphone, but not mandatory.

Principal Duties & Responsibilities:

  • The Social Media Ambassador should be highly motivated and self-sufficient, upbeat individuals who work well both with a team and individually when interacting with other students.
  • Student(s) will create 1-2 videos per month for the marketing and communications team.
  • The Social Media Ambassador may appear on camera in some videos and should feel comfortable both in front of and behind the camera.
  • Video content will include clips varying from 30 seconds to several minutes depending on the topic of the video.

Recording Services

Description:

The Recording studio is looking for talented Student Recording Engineers to join our A/V team. As a Student Recording Engineer, you’ll be responsible for the execution of a variety of audio and video projects for SFCM faculty, staff, students, and external rental clients. You’ll have the opportunity to learn and work on state-of-the-art recording systems in a fun yet productive work environment.

The ideal candidate for this role will have previous experience working in audio and/or video productions and can demonstrate skills in A/V hardware and post-production software.

Description:

The Office of Admissions is looking for enthusiastic, dependable, and motivated students to join the current team in welcoming visitors and recruiting the next SFCM class. All who apply for this position will also be considered for audition weekend proctoring and support. Resumé and cover letter are required for this application.

Qualifications:

The ideal candidate will enjoy sharing their personal stories with prospective students and have an eagerness to learn more about the admission process. This position requires excellent communication skills for interacting with both large groups and in one-on-one settings. It is essential to be comfortable speaking on the phone and on video. Zoom session hosting and database experience is a plus.

Responsibilities:

  • Give regular virtual and in-person campus tours of 50 Oak St and the Bowes Center (training provided)

As a project based position shortly before the beginning of each semester, the RJAM Transcription Assistants create high quality and professional lead sheets and sheet music under the supervision and with the support of Executive Director and Ensemble faculty members. This detail oriented and precise work requires a quick turnaround with high accuracy and offers the opportunity to refine and apply music transcription and ear training skills.

Qualifications:

  • RJAM Collegiate Student status
  • Great proficiency and experience using notation software such as Sibelius, Finale, MuseScore or similar
  • Thorough understanding of music theory
